1. Who we are
GrowItMate (also styled LetsGrowItMate) is an AI growth platform for local service businesses, operated by Bumble Bee Studio, based in Melbourne, Victoria, Australia. In this policy, “we”, “us” and “our” mean GrowItMate, and our website is letsgrowmate.com.
We take privacy seriously and handle personal information in line with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth). This policy applies to our website, and to the messaging and voice services we operate for and on behalf of the businesses that use our platform.
2. Our role, and the businesses we serve
GrowItMate provides tools that a local business (for example, a landscaping or trades company — our “customer”) uses to answer enquiries, capture leads, and manage its marketing. When you, as a member of the public, contact one of those businesses through a channel we power, we process your information on that business’s behalf so they can respond to you. That business is responsible for how it uses the information you give it. We are responsible for operating the platform securely and as described here.
3. Information we collect
Depending on how you interact with us, we may collect:
- Contact details — your name, phone number, email address, and business or location details you provide.
- Messages — the content of messages you send and receive through WhatsApp, Facebook Messenger, SMS, or web chat, including timestamps and the channel used.
- Calls, recordings and transcripts — when you call a number we operate, we may record and transcribe the call so our AI assistant can respond and so the business can follow up. You are told at the start of the call that you are speaking with an AI assistant.
- Enquiry & lead information — the details of your request (the service you want, budget, timing, address), and an automatically generated classification of your enquiry (for example, whether it looks like a genuine lead).
- Website usage — basic technical information such as your IP address, browser type, and the pages you view, collected to keep the site secure and working.
4. How we use your information
We use personal information to:
- answer your enquiry and hold a conversation with you;
- pass genuine enquiries to the relevant business so they can quote, book, or follow up;
- operate, secure, maintain and improve our platform and AI assistant;
- keep records of conversations for quality and follow-up; and
- comply with our legal obligations.
We do not sell your personal information, and we do not use the content of your messages or calls to send you unrelated marketing.
5. Automated and AI-assisted messaging
Conversations on our channels are handled by an automated AI assistant. Your messages and call audio are processed by AI language models to understand what you need and generate a reply, and to classify your enquiry. A person from the business may also review the conversation. If the assistant cannot help, your call may be transferred to a human. By continuing a conversation, you consent to it being handled in this automated way.
6. When you message us on WhatsApp or Messenger
If you contact a business through WhatsApp or Facebook Messenger, your messages are delivered through Meta’s platforms and are also subject to Meta’s and WhatsApp’s own privacy terms. We handle those conversations in accordance with the WhatsApp Business Messaging Policy. You can stop the conversation at any time by replying to ask us to stop, or by blocking the number in your messaging app.
7. Who we share information with
We share information with the business you contacted, and with the service providers that help us run the platform. We require these providers to protect your information and to use it only to provide their service to us:
| Provider | What they do | Location |
|---|---|---|
| Twilio | Telephony, WhatsApp & SMS delivery, call transcription | USA |
| Meta Platforms (WhatsApp / Messenger) | Message delivery on those channels | USA |
| AI language-model provider | Generating replies and classifying enquiries | Overseas |
| Fly.io | Application hosting | Australia (Sydney) |
| Cloudflare | DNS, TLS & content delivery | Global |
We may also disclose information where required by law, or to protect our rights, safety, or property and those of others.
8. Overseas disclosure
Some of our providers are located outside Australia (for example, in the United States or other countries, as shown above). Where we disclose your information to an overseas recipient, we take reasonable steps to ensure it is handled consistently with the Australian Privacy Principles.
9. How long we keep it
We keep personal information only for as long as we need it for the purposes above — typically for the duration of your enquiry and a reasonable period afterwards so the business can follow up and keep records — and then delete or de-identify it, unless we are required to keep it longer by law.
10. How we protect it
We use technical and organisational measures to protect personal information, including encryption in transit (HTTPS/TLS), access controls, and reputable hosting. No system is perfectly secure, but we work to protect your information and to respond promptly to any incident.
11. Your rights and choices
You may ask us to:
- access the personal information we hold about you;
- correct information that is inaccurate or out of date;
- delete your information, where we are able to; and
- stop messaging you.
To make a request, email us at info@bbbstudio.au. We may need to verify your identity first. We will respond within a reasonable time. If the information was shared with a business you contacted, you may also need to contact that business directly.
12. Cookies and analytics
Our website uses only the cookies and similar technologies needed to make the site work and to understand, in aggregate, how it is used. We do not use them to build advertising profiles of you.
13. Children
Our services are intended for businesses and adults. We do not knowingly collect personal information from children. If you believe a child has provided us information, please contact us and we will delete it.
14. Changes to this policy
We may update this policy from time to time. When we do, we will change the “Last updated” date above. Significant changes will be made clear on this page.
