A quote should still be alive a week later.
Most quotes go cold because the follow-up relies on someone remembering. This demo walks the four branches: soft check-in, visit slot hold, approval and a graceful close.
What triggers this workflow
Quote web form or CRM event fires the workflow with the customer's contact details and quote value.

Workflow steps
- Twenty CRMSend quoteQuote email + PDF delivered; CRM stage set to 'sent'.
- n8n sleepWaitWorkflow sleeps for the agreed cadence — usually 3–5 days.
- Listmonk + n8nSoft check-inPolite, low-pressure follow-up with a 'no-commit' framing.
- Listmonk + Twenty CRMVisit reminderHolds the agreed visit slot with an explicit HOLD / RESCHEDULE.
- Twenty CRMApprove / closeApproval branch confirms a booking; close branch tags the quote for re-engagement later.
Tools used
Human handoff
The salesperson always owns the close
Quote automation handles the cadence — never the negotiation. The approval branch hands a warm contact back to a human with the quote context attached, so the conversation starts with context already loaded.
- Customer replies with questions about the quote
- Customer asks to negotiate or revise scope
- Customer is a returning client (handed back to the original account owner)

Setup for production
Wiring it for production
Live deployment needs the quote source, the cadence rules and a clear close policy.
- Configure the quote-sent event in Twenty CRM (or your CRM) as the workflow trigger.
- Set the cadence in the n8n workflow JSON (default: 3 / 7 / 14 days).
- Add a reply-detection rule so a customer reply stops the cadence and routes to the salesperson.
- Wire the approval branch back to Twenty CRM with a 'won' stage and Cal.com for the visit slot.
Production prerequisites
- Twenty CRM quote stage agreed with the sales team
- Cadence signed off internally — not 'as often as possible'
- Reply-detection keyword set so a real reply always wins over the cadence
Nothing here runs by default. Configuration has to be in place before any live send, booking or contact write.
Questions
Won't the follow-ups be pushy?
The cadence is deliberately spaced (3, 7, 14 days) and the copy is low-pressure. A customer reply at any time stops the cadence — real conversation always wins over the workflow.
What if the customer is slow to decide but not a no?
The visit-reminder branch holds a slot for a week with an explicit HOLD / RESCHEDULE. If they want to think longer, the close branch archives the quote and queues a 90-day re-engagement with consent.
