A tradie enquiry, qualified and booked without the back-and-forth.
From a Saturday afternoon DM to a confirmed site visit — the workflow that turns a tradie or landscaper enquiry into a measured quote and a slot on the calendar.
A builder or landscaper enquiry usually arrives faster than the team can reply. This demo walks the path from first message to a qualified lead, a clear handoff, and a calendar slot the customer actually picks.
Every step is sample data — the in-browser sandbox below is offline and produces no real messages. Wiring the live workflow needs accounts, consent records and human approval configured up-front.
What triggers this workflow
Any connected channel — website form, missed-call text-back, Instagram DM, Messenger — lands a contact in the qualification workflow.

Tools used
Human handoff
Always a human in the loop
The agent never promises a booking the business can't honour. Qualified leads surface to a team member with the captured context, and out-of-area or mismatched enquiries get a courteous referral rather than a fake confirmation.
- Customer asks to speak with a human at any point
- Confidence score is below the agreed threshold
- Service area is outside the business's run sheet
- Value looks well outside the agreed scope (large commercial job for a residential-only crew)

Setup for production
Wiring it for production
This demo runs offline in your browser — wiring the live workflow needs accounts, consent records and human approval configured up-front.
- Connect Twenty CRM with an API key (read + write access to People + Companies).
- Connect Cal.com with an API key for the agreed event type.
- Connect Twilio for SMS and Listmonk or your email provider for outbound email.
- Configure the qualification rules (service types, suburbs, budget bands) in the n8n workflow JSON.
- Set the human-handoff conditions above as the threshold below which a person is paged automatically.
- Run a 5-enquiry pilot before turning it on for production traffic.
Production prerequisites
- Customer consent for AI-assisted replies on each connected channel
- Twenty CRM workspace with the agreed pipeline stages
- Cal.com event type configured with the right duration and availability
- A human in the loop — no automation ships without an approval path
Nothing here runs by default. Configuration has to be in place before any live send, booking or contact write.
Questions
Does the AI ever promise a booking the business can't honour?
No. The qualification step scores the enquiry and either books an available slot from the connected calendar or hands the lead to a team member with the captured context. Promised slots come from real availability.
What if the customer asks to speak with a person?
Every connected channel has a clear human handoff path. The workflow pauses the automated sequence, drops the context into Twenty CRM and pages the right team member with the conversation history attached.
Can I tighten the qualification rules later?
Yes. The qualification criteria live in the n8n workflow JSON (service types, suburbs, budget bands). Edit them and redeploy; the sandbox demo mirrors the same rules so you can preview changes.
